If a patient tries to book an appointment on a Friday and your clinic is closed Saturday and Sunday, your online scheduler can end up showing almost nothing available — even though you’re wide open on Monday. That’s not a bug in your practice, it’s usually a booking window that’s counting every calendar day instead of the days you’re actually open. OneSystemCRM lets you fix this in under a minute by switching your booking window to count working days only, so patients always see a full, honest set of open slots no matter what day they land on your page.
Why the Calendar Looks Empty on Certain Days #
Every calendar, service, and rental listing in OneSystemCRM has a “date range” setting — this is how many days into the future patients are allowed to book. By default, that number counts straight through the calendar, weekends and closed days included. So if your date range is set to 3 days and a patient opens your scheduler on a Friday, the system counts Friday, Saturday, and Sunday — two of which you’re closed — and shows them almost no real options.
The front desk usually finds out about this the hard way: a patient calls confused because “the app said nothing was open,” when in reality Monday and Tuesday are wide open. It’s not a capacity problem, it’s a counting problem.
What “Count Available Days Only” Actually Does #
There’s a toggle sitting right under the Date Range field called Count Available Days Only. Turn it on, and the system stops counting days you’re closed toward that window — it only counts days that match your actual working schedule. The booking window effectively “skips” your days off instead of burning through them, so patients consistently see real, bookable time instead of a wall of grey.
This applies in three places, and each one is controlled separately:
- Calendars — the main scheduling calendars your patients book directly
- Services — service-based booking flows (useful if you offer packages like consults, cleanings, or treatment bundles)
- Rentals — if you rent out a room, chair, or piece of equipment by the day

Step-by-Step: Turning On Count Available Days Only #
For a Calendar #
- Go to Calendars in your OneSystemCRM dashboard.
- Open the calendar you want to fix and click into its Settings.
- Scroll to the Date Range field — this is where you set how many days ahead patients can book.
- Directly below it, flip on the Count Available Days Only toggle.
- Click Save.
For a Service #
- Go to Services and open Global Settings.
- Click into Service Settings for the service you want to adjust.
- Find the Date Range field and enable Count Available Days Only beneath it.
- Save your changes.
For a Rental Listing #
- Open the specific rental listing (room, chair, or equipment).
- Go to its Booking Settings.
- Enable Count Available Days Only under the date range field.
- Save.

Clinic Example: A Dental Practice Closed Sundays and Mondays #
Picture a dental clinic open Tuesday through Saturday, closed Sunday and Monday. Their online booking window is set to a 4-day range so patients can only grab near-term openings (this keeps the schedule tight and reduces no-show risk from bookings made too far out).
Before turning on Count Available Days Only: a patient opens the booking page on Saturday afternoon. The system counts Saturday, Sunday, Monday, and Tuesday — but two of those are closed days. The patient sees only one real bookable day and assumes the practice is nearly fully booked, so they call a competitor instead.
After turning it on: that same Saturday visit counts forward through actual open days — Saturday, Tuesday, Wednesday, Thursday — skipping Sunday and Monday entirely. The patient sees four real days of options, picks a slot for Wednesday, and books without ever picking up the phone. Front desk staff stop fielding “why is nothing available” calls, and the practice stops silently losing bookings to a counting quirk nobody noticed.
The same logic applies just as well to a med spa closed on Mondays, a physiotherapy clinic with half-day Fridays, or an aesthetics practice that only takes new-patient consults on specific weekdays.
Troubleshooting & FAQ #
I turned on the toggle but patients still see gaps in the schedule. What else could be going on? Check your Minimum Scheduling Notice setting — this controls how much advance notice is required before a booking (for example, no same-day bookings after 2 PM). It works independently of Count Available Days Only, so the two settings combine: notice requirements can still trim same-day slots even with the toggle on.
Does this change how many days I show, or just which days count? Just which days count. Your Date Range number stays the same — you’re still offering, say, 3 or 5 days of booking — the system just stops “spending” that number on days you’re closed.
Do I need to turn this on separately for every calendar and service? Yes. Calendars, Services, and Rentals each have their own toggle, so a multi-provider clinic with several calendars should check each one individually, especially if different providers keep different schedules.
What if my hours change seasonally or around holidays? Update your working hours or add a custom closed day first — Count Available Days Only reads from whatever schedule is currently set, so it will automatically skip any day you’ve marked as closed, including one-off holiday closures.
Will this affect appointments patients already booked? No. This setting only affects how future availability is calculated going forward; it doesn’t touch existing appointments on the calendar.
