Running a clinic rarely happens from behind a desk. You’re walking a patient to a treatment room, grabbing coffee between visits, or handling a front-desk question — and your practice’s schedule, messages, and leads still need attention. OneSystemCRM’s mobile app now opens to a homepage built for exactly that: a single screen that shows what’s happening today, without digging through menus.
This guide walks through what’s on the new mobile homepage, how to turn it on, and how a clinic can put it to work the same day.
What the Mobile Dashboard Does #
Instead of landing on a generic menu, the OneSystemCRM mobile app now opens straight to a homepage with live widgets, quick actions, and a search bar that reaches across your whole account. The goal is simple: answer “what needs me right now?” in the two seconds it takes the app to open.
For a clinic, that means front-desk staff and providers can check the day’s appointment count, see who hasn’t confirmed, glance at unread patient messages, and jump into a workflow — all without opening a laptop.
Step 1: Turn On the New Mobile Homepage #
The redesigned homepage is currently rolling out as an opt-in feature, so it needs to be switched on for your account before it appears.
- Update the OneSystemCRM app from the App Store or Google Play — the homepage only appears on the current version.
- From a desktop browser, go to Agency Settings → Labs → Subaccounts.
- Find New Mobile App Experience and toggle it on.
- Choose which subaccounts (locations) should get the new homepage. If you run more than one clinic location under one agency account, turn it on for one location first before rolling it out everywhere.
- Reopen the mobile app on your phone — the new homepage loads automatically once the toggle is active for that location.

Who Can See It #
Access follows the same user roles and permissions already set up in your account. A front-desk coordinator sees the widgets relevant to their role; an admin sees everything, including agency-wide totals. Nothing here overrides your existing role-based permissions.
Step 2: Get to Know the Homepage Widgets #
Once it’s on, the homepage shows four fixed widgets plus a revenue snapshot:
Today’s Appointments #
Shows how many visits are booked for the day and flags anything unconfirmed. For a clinic, this is the fastest way to check tomorrow’s caseload while you’re still finishing today’s last patient.
Unread Messages #
A running count of unanswered texts, emails, and web chats from patients. If someone messages asking to move their cleaning or reschedule a consult, it shows up here instead of getting buried in an inbox nobody’s watching.
Tasks Due #
Pulls in anything assigned to you or your team with a due date — insurance follow-ups, callback reminders, or a note to confirm a patient’s referral.
Opportunity Pipeline Value #
A rolled-up dollar figure of everything sitting in your pipeline right now — useful for an aesthetics or physio practice tracking consult-to-booking value without opening a report.
Revenue Chart #
A six-month view of performance, so an owner checking in from their phone gets trend, not just a single day’s snapshot.

Step 3: Pin the Modules You Actually Use #
Below the widgets sits a Pinned Apps section — up to four modules you choose, so the tools you open constantly (Conversations, Calendar, Contacts, Payments) are one tap away instead of buried in a menu.
- From the homepage, tap Edit on the Pinned Apps section.
- Select up to four modules.
- Save. The order you pick is the order they appear in.
Underneath that is a fixed Quick Actions row — eight shortcuts for the things you do most: booking an appointment, sending a message, adding a contact, and similar frequent tasks.

Step 4: Search Once, Find Anything #
The homepage search bar reaches across conversations, contacts, and opportunities in one query — so typing a patient’s name pulls up their contact record, appointment history, and any open conversation thread together, rather than searching each section separately.
Clinic example: A patient calls the front desk asking about a bill from three weeks ago. Instead of switching between the Contacts tab and the Payments tab, staff type the patient’s name into the homepage search and see their profile, recent messages, and invoice status in one result list.

Step 5: Try the AI Assistant (Agency Admins) #
The homepage includes an AI assistant that can draft messages, create a contact from a quick description, or generate an image — useful for a quick patient follow-up text or a social post between appointments. It’s currently available to Agency Admins only, with wider access expected as the rollout continues.
To use it, tap the assistant icon on the homepage and describe what you need — for example, “draft a friendly reminder to a patient whose appointment is tomorrow at 2pm.”

Step 6: Turn On Dark Mode (Optional) #
For anyone checking the app late at night or in a dim exam room, a true dark mode is now available.
- Open the app’s Settings.
- Tap Appearance.
- Select Dark.

Clinic Use Case: A Dental Practice’s Morning #
Picture a two-provider dental practice. The office manager opens the app on the drive in and sees three unconfirmed appointments for the day, two unread patient messages, and one overdue insurance-verification task. Instead of waiting until she’s at her desk, she taps into Unread Messages, confirms one patient by text, and reassigns the insurance task to the front-desk associate — all before she’s parked the car. By the time she walks in, the day is already under control.
Troubleshooting & FAQ #
The new homepage isn’t showing up on my phone. Confirm the toggle is switched on for your specific location under Agency Settings → Labs → Subaccounts, then fully close and reopen the app. Also check that the app itself has been updated to the latest version from your app store.
Can I choose which widgets appear? The four core widgets (Today’s Appointments, Unread Messages, Tasks Due, Opportunity Pipeline Value) are currently fixed and cannot be reordered or hidden. The Pinned Apps section is the customizable part — use that to surface the modules your team relies on most.
Why can’t my staff see the AI assistant? It’s currently limited to Agency Admins. If your front-desk or provider accounts don’t have that role, they won’t see the assistant icon yet.
Does turning this on for one location affect my other locations? No — the toggle is applied per subaccount, so you can enable it for a single clinic location to test before rolling it out account-wide.
Search isn’t returning a patient I know exists. Full search coverage is still expanding across every module. If a record doesn’t appear, try searching from the specific module (Contacts or Conversations) directly while broader search coverage continues to roll out.
Is this replacing the desktop app? No. The mobile dashboard is designed for quick, on-the-go checks — appointment scheduling, patient communication settings, and detailed reporting are still best handled from a desktop browser.
