Patient Record Page: View Every Patient Interaction in One Screen #
Front desk staff lose minutes on every call hunting for a patient’s last appointment, an outstanding balance, or a note from the hygienist. The Patient Record Page in OneSystemCRM puts a patient’s full history — messages, appointments, payments, notes, and tasks — on one screen, so your team stops clicking between six tabs to answer one question.
Why Your Front Desk Needs This #
A patient calls asking to reschedule and mentions they still haven’t gotten a callback about their invoice. Without a unified view, your staff has to check the calendar tab, then the conversations tab, then the payments tab — while the patient waits on hold. The Patient Record Page removes that back-and-forth by laying out everything tied to a single patient in one layout, split into three working areas.
What’s Inside the Patient Record Page #
Patient Details #
The left column holds the basics: name, phone, email, tags, and profile photo. This is what your front desk confirms first on every call — right patient, right file, no guessing.
Activity Timeline #
The center column is a running history of every touchpoint: text and email threads, phone calls, booked and completed appointments, and internal notes, all in chronological order. Instead of piecing together a patient’s story from separate tabs, your team scrolls one feed.
Action Tools #
The right column holds the modules your staff actually acts on: Tasks, Notes, Documents, Payments, Appointments, and Opportunities (useful for tracking a treatment plan or membership upsell as it moves toward being booked). Each opens without leaving the page.
How to Open and Use the Patient Record Page #
Step 1: Open a Patient’s Record #
Go to Contacts and click any patient’s name. The three-panel layout loads automatically — no separate setting to turn on.

Step 2: Turn On Autosave for Your Team #
By default, edits to a patient’s details need a manual save. To make changes save automatically the moment a staff member clicks out of a field:
- Open any patient record and click the kebab menu (the three dots near the details panel), or go to Settings → Contacts → Details Tab.
- Toggle Autosave on.
This is an account-wide setting — once an admin enables it, every user at that location gets autosave on patient records. It’s worth turning on for any clinic where front desk staff update patient info mid-call and can’t afford to lose an edit because they forgot to hit save.

Step 3: Navigate Between Patients With Keyboard Shortcuts #
When your team is working through a list of patients — confirming tomorrow’s appointments, for example — these shortcuts cut down on mouse clicks:
- Arrow keys — move to the next or previous patient in the current list
- Esc — collapse the right-hand Action Tools panel for a wider timeline view
- Ctrl/Cmd + S — manually save changes at any time, autosave or not
Step 4: Customize What You See #
Not every patient record needs every field visible. Two controls keep the page focused:
- Hide Empty Fields — turns off blank fields so the details panel only shows information you’ve actually collected
- Collapsible panels — collapse any panel you’re not using; the page remembers your layout and last active tab the next time you open a record
Clinic Example: A Dental Practice Front Desk #
A dental practice’s front desk gets a call from a patient asking to move their cleaning appointment and confirm their remaining balance on a whitening treatment plan. Before this page existed, that meant checking the calendar, then the billing tab, then scrolling old text threads to see if anyone had already answered a similar question. With the Patient Record Page open, the receptionist sees the upcoming cleaning in the Appointments module, the balance in Payments, and the prior conversation in the same timeline — all without leaving the patient’s file. The call that used to take three minutes of tab-switching now takes one.
The same layout helps a medical spa track a client’s package sessions, an aesthetics clinic follow a multi-visit treatment plan through the Opportunities module, or a physio practice keep therapist notes and home-exercise follow-ups attached to the same record.

Troubleshooting & FAQ #
Autosave isn’t saving my changes. Confirm autosave was enabled by an admin under Settings → Contacts → Details Tab. It’s an account-level toggle — if it’s off there, individual users can’t turn it on themselves from within a record.
Arrow keys aren’t moving between patients. Keyboard navigation only works when you’re inside a patient list (like a filtered Contacts view), not when a text field is actively selected. Click outside any input field first, then use the arrow keys.
A panel I collapsed keeps reappearing. The layout is remembered per user, not per patient. If a teammate is logged into a shared workstation under their own account, they’ll see their own saved layout, not yours.
I don’t see the Opportunities module in the Action Tools panel. Modules only display if they’re enabled for your location and relevant to that patient record — for example, Opportunities only shows once a pipeline is set up for tracking treatment plans or packages.
Can I control which fields show up in the Patient Details panel? Use Hide Empty Fields to reduce clutter for records with sparse data. To change which fields exist at all, that’s managed separately under your contact field settings, not from the record page itself.
