How to Generate On-Brand Marketing Images for Your Clinic Automatically (No Designer Needed) #
Every clinic eventually hits the same wall: you need a new promo graphic, a social post image, or a seasonal offer visual, and your designer is busy, on vacation, or doesn’t exist. OneSystemCRM’s AI Image Generation workflow action solves this by letting your automations create branded images on the fly — and now it can use your actual logo, treatment room, or product photos as visual references instead of guessing from a text description.
For a clinic, that means every automatically generated graphic can actually look like your clinic, not a generic stock photo with your name slapped on it.
Why This Matters for Clinics #
Text-only AI image prompts are unreliable for anything brand-specific. Ask a generic AI model for “a modern dental office with our logo” and you’ll get a logo that’s almost right, a color palette that’s close but not quite, and an interior that looks nothing like your actual practice. That’s a problem when patients are used to seeing your real space and real branding across your website, front desk, and social pages.
Reference-image support fixes this by letting the AI look at real photos before it generates anything — your actual logo file, a photo of your waiting room, or last month’s approved promo graphic — so the output stays visually consistent with what your patients already recognize.
What You’ll Need Before You Start #
- A workflow already set up in OneSystemCRM (or a new one you’re building for marketing automation)
- 1–5 reference images ready to go: your logo (transparent background works best), a clean photo of your clinic interior or exterior, product/treatment photography, or a previous graphic you want to match
- A clear idea of what the generated image is for — a social post, an email banner, a funnel hero image, etc.
Step-by-Step: Setting Up the AI Image Generation Action #
Step 1 — Add the Action to Your Workflow #
Open the workflow you want to add image generation to (or create a new one), click Add Action, and search for AI Image Generation.

Step 2 — Choose Your Model #
Before writing your prompt, pick which model fits the job:
- Flare — faster and more cost-effective. Good default for routine social posts, quick promo graphics, and anything you’re generating in volume.
- Sunburst — slower but more precise. Better for polished campaign creative, print-ready graphics, or anything where exact logo placement and color accuracy really matter.
For most clinics, start with Flare for day-to-day social content and switch to Sunburst when a graphic is going into a paid ad campaign or printed material.

Step 3 — Write Your Prompt #
Describe the image you want in plain language: the scene, the mood, the text overlay if any, and the layout. Keep it specific — “a warm, minimal promo graphic for a spring skincare special, clinic logo in the top right corner, soft neutral background” works better than a one-line description.
Step 4 — Attach Your Reference Images #
Scroll to the Reference Images section and add up to 5 images from any of these sources:
- Upload a file directly from your computer
- Media Library — pull from images already stored in your OneSystemCRM account
- Dynamic URL — point to an image using a custom value, so the reference can pull from a contact field, a webhook payload, or the output of a previous workflow step
Images are used in the order you add them, so if you’re referencing more than one (for example, “use image 1 as the logo and image 2 as the background style”), keep that order in mind when you write your prompt.

Step 5 — Reference Each Image in Your Prompt #
Tell the AI what each attached image represents so it knows how to use it — for example: “Use the first reference image as the exact logo, unchanged. Use the second reference image as the color and lighting style for the background.”
Step 6 — Save and Test #
Save the action and run a test on the workflow to confirm the output matches what you expect before it goes live in a patient- or lead-facing automation.

Clinic Use Case: Automating Promo Graphics for a Med Spa #
A med spa runs a “special of the month” workflow — every time a new offer is added to their offers pipeline, a workflow automatically drafts a social media graphic and drops it into their content calendar for review.
Before reference images, the front desk manager had to manually design each graphic or accept whatever generic image the AI produced, which never quite matched the clinic’s actual branding. Now the workflow attaches the clinic’s real logo and a reference photo of their treatment room, so every auto-generated graphic keeps the same fonts, colors, and interior look patients already recognize from Instagram and the clinic’s website. The manager just reviews and approves before it goes out through their Social Planner queue instead of building each graphic from scratch.
The same setup works for a dental practice generating consistent “meet the team” graphics, a physio clinic producing exercise-of-the-week visuals, or any practice that wants a steady stream of on-brand content without a full-time designer.
A Note on Patient Photos and Privacy #
Don’t use real patient photos as reference images in a workflow unless you have clear, documented consent for that specific use, and confirm your image-generation setup fits your practice’s compliance requirements before connecting it to any patient-facing data. For most clinics, the safer approach is to reference your logo, your physical space, your staff (with their consent), or your own product/treatment photography — not identifiable patient images.
Troubleshooting & FAQ #
My generated image doesn’t look like my reference photo. What’s wrong? Check two things: which model you selected, and whether your prompt clearly tells the AI what to do with each reference image. Sunburst holds subject details more tightly than Flare, so switch models if Flare’s output is drifting too far from your reference. Also make sure your prompt explicitly says what each image is for (“use image 1 as the exact logo”) rather than leaving it to guess.
Can I use a different reference image for every contact, automatically? Yes. Use the dynamic URL option in the Reference Images section and point it at a custom value pulled from a contact field, a webhook, or a prior workflow action. This lets you personalize generated images per contact or per location without editing the workflow each time.
Which model should I use for a Facebook or Instagram ad graphic? Sunburst is the better choice for anything going into paid media, since ad creative needs tighter brand and color accuracy. Save Flare for quick, high-volume content like weekly social posts.
How many reference images can I add to one action? Up to five per AI Image Generation action, and they’re processed in the order you add them.
Do I need a workflow already built to use this feature? No — you can add the AI Image Generation action to any new or existing workflow. If you’re new to building automations in OneSystemCRM, the Workflow AI Builder can generate a starting workflow for you from a plain-language description.
